Accounting & Administration Coordinator

We're looking for a detail-oriented and proactive Accounting & Administration Coordinator to help keep Heylist running smoothly behind the scenes. In this role, you'll support our day-to-day financial operations, payroll, and administrative processes while working closely with our leadership team and external accounting partners. About the Role

As Accounting & Administration Coordinator, you'll play a key role in supporting Heylist's financial and operational activities. You'll oversee accounts payable and receivable, payroll processing, reconciliations, and financial record keeping while ensuring accuracy and compliance across our accounting processes. You'll also provide administrative support that helps our team operate efficiently as we continue to grow.

Key Responsibilities

  • Process and verify supplier and customer invoices.
  • Prepare and issue payments, including electronic transfers and direct deposits.
  • Manage accounts receivable and accounts payable, following up with customers when required.
  • Perform bank and general ledger reconciliations.
  • Assist with monthly journal entries and financial reporting.
  • Ensure the accuracy and compliance of financial transactions within the accounting system.
  • Review employee expense reports and supporting documentation.
  • Collaborate with external accountants or the Controller during month-end and year-end closing activities.
  • Maintain organized financial records and administrative documentation.
  • Prepare supporting documentation for internal and external audits.
  • Process payroll and administer employee group benefits.
  • Provide general administrative and office support as needed.
  • Support additional operational and administrative initiatives in a collaborative, fast-paced startup environment.

Qualifications

  • 3+ years of experience in accounting, bookkeeping, finance, or office administration.
  • Diploma or degree in Accounting, Finance, Business Administration, or a related field.
  • Experience with accounting software, payroll systems, and Microsoft Excel or Google Sheets.
  • Strong attention to detail with excellent organizational and time management skills.
  • Ability to manage multiple priorities while maintaining accuracy.
  • Strong communication skills in both English and French.
  • High level of integrity and ability to handle confidential financial information.
  • Experience in a startup or small business environment is considered an asset.
